Eligibility
Mapped Term (including Cohort Cartography) may be cancelled for a full refund if you write to info@system-maphub.digital at least fourteen full days before the first live sitting named on the welcome letter. After that point, and before the public critique sitting, a partial refund of 45% of the fee is available if you withdraw in writing. After the critique sitting, the term is considered delivered for refund purposes, even if you miss later rooms and watch recordings.
Open Atlas notes may be refunded in full within fourteen days of the invoice being marked paid, provided you have not been sent the download or access mail. Once access is sent, Open Atlas is non-refundable, because the notes cannot be unread.
Commissioned Survey work may be stopped after the first sitting for a refund of unused sittings, calculated as the fee divided by six, times sittings not held, minus a £120 administration amount. After the third sitting, remaining work is non-refundable because the legend and kill-list will already be in draft.
Timeframe to ask
Requests must arrive by email from the address on the invoice within the windows above. A telephone call to 077 2368 6336 is not enough on its own; we need the written date.
Full or partial
Full refunds apply only in the windows stated, or if we cancel a term because fewer than six people confirm, or if we cannot provide a tutor of comparable standing. Partial refunds follow the percentages and unused-sitting maths above. We do not offer credit notes instead of money unless you ask for a move to a later term in the same calendar year.
Non-refundable items
VAT already paid to the tax authority is handled according to United Kingdom rules on the credit note; we do not “keep VAT” as a penalty. Travel you booked to Caldecott is never refunded by us. Third-party software licences are not ours to refund. Letters of completion already issued are not a basis for returning the fee.
Process
Write “Refund” in the subject line, name the programme, the invoice number, and whether you want money returned or a move to a later term. We will acknowledge within four working days and say whether the window applies.
Processing time and method
Approved refunds are paid back by the same method as the invoice settlement where we can (typically bank transfer). Allow ten working days after approval for the money to leave our account, and a little longer for your bank. We do not refund in cash at the office.
Cancellation by us
If we cancel, you choose a full refund or a seat on the next Mapped Term without a new fee. We will not keep a deposit “for administration” in that case.
Exceptions
If illness or a bereavement prevents attendance, write as soon as you can. We may, at our discretion, move you once without treating it as a withdrawal. We do not refund because you disagreed with a critique, because your employer blocked a data export (the syllabus already names lent datasets as the alternative), or because you found a cheaper vendor academy after access was sent.
Statutory rights under the Consumer Rights Act 2015, where they apply to you as a consumer, are not displaced by this notice. If you booked as a business, the windows above are the complete refund bargain unless the invoice says otherwise.
